How to Take Calls in a Coworking Space Respectfully

If you are new to coworking spaces, you may be wondering whether it is appropriate to pick phone calls within the co-shared space. And if so, what is expected of you to avoid coming across as disrespectful to your coworkers.

While many coworking spaces do not have fast and hard rules on picking calls in the coworking space, you should apply common sense and common courtesy. Below are tips for taking calls in a coworking space respectively.

Keep Your Voice Down

Common etiquette demands that you keep your tone down when talking on the phone around other people. The same applies when picking calls within the coworking space to avoid distracting other professionals.

Use the Phone Booth as Needed

Coworking spaces have phone booths that are designated for taking calls. You do not always need to rush to the phone booth with every ring on the phone. You can make short phone calls within the shared space as long as you keep your voice low.

However, if you are naturally a loud talker, you might have to go to the phone booth for every call. Some people tend to talk louder when taking professional calls so as to convey credibility and authority. In this case, it is important to use the phone booth.

Do Not Overstay in the Phone Booth

Typically, coworking space phone booths are available to customers on a first-come-first-serve basis. Most of the time, at least one phone booth is empty so there are hardly any instances where coworkers need to wait. And, even when they do, it is not for too long.

However, if you were to use the phone booth continuously for several hours, then you would be inhibiting its access to coworkers who might need to use it.

If the nature of your work involves continuously making or receiving calls e.g. as a customer service representative, it is best to sign up for a dedicated office rather than a cubicle in a shared space. If it happens occasionally and predictably, consider booking the board room or private meeting rooms on specific days.

Be Mindful of Your Client’s Privacy

You may pick a client call thinking it will be quick and casual but it ends up being lengthy and confidential. If you notice that the trajectory of the call has changed and you are discussing private and confidential information, it is best to move to the phone booth or a private meeting room. That way, you do not risk your coworkers eavesdropping on vital customer information.

Conclusion

When taking phone calls in a coworking space, always be considerate of other people using the space. Gauge yourself to determine if you need to use the phone booth rather than take a given call in the shared space. If at any point you wonder whether you are distracting your coworkers, then it is a good cue to proceed to the phone booth.

It is always prudent to confirm with the community manager whether there are specific guidelines or rules stipulated for taking phone calls in the coworking space.
